Internal AI Assistant for Companies.
Always-On. Always Remembers. Actually Does Things.
An internal AI assistant is different from a public chatbot. It knows your company context, remembers what you discussed last week, and doesn't just answer — it acts. CloudyBot is a hosted internal AI assistant that combines rolling memory, a real cloud browser, document intelligence, and WhatsApp access into one platform. Your team gets a private AI worker, available 24/7, without any self-hosting or infrastructure.
Why Companies Need an Internal AI Assistant (Not Just ChatGPT)
ChatGPT and Claude are excellent general-purpose AI tools. But they're designed for individual, one-off queries. They reset between sessions. They can't browse the web and show you what they're doing. They don't know your company's context unless you re-explain it every time.
A purpose-built internal AI assistant solves these gaps:
- Memory: It remembers what you told it last week. It builds on prior conversations. You don't start from scratch every session.
- Action: It can actually browse websites, fill forms, and automate tasks — not just describe what you should do manually.
- Context: Your company's documents, SOPs, and policies are accessible in the same conversation where you ask questions about them.
- Privacy: Your conversations aren't used for public model training. Internal data stays internal.
CloudyBot is built to satisfy all four requirements — without requiring your IT team to deploy anything.
- Rolling Memory: Three-layer system — pinned facts, rolling summary, session context. The AI never forgets important context.
- Cloud Browser: Real Chrome in the cloud. LinkedIn, SEO tools, web forms, competitor sites — watched live; pause, steer, or take over when you need to.
- File Workspace: Upload SOPs, reports, spreadsheets, and policies. Query them conversationally, cross-reference across files.
- WhatsApp: Access your internal AI assistant from the app your team already uses (paid plans).
- Always-On: Hosted in the cloud — not on your laptop. Long-running tasks don't stop when you close your browser.
- No Data Training: Your internal conversations never train AI models. Private by design.
The "Always-On" Advantage
One of the biggest differences between a hosted internal AI assistant and running AI tools locally is persistence. When you use ChatGPT on your laptop, the moment you close that tab, your context is gone. If you're running a local agent like AutoGPT and your laptop sleeps, the task stops.
CloudyBot's architecture separates the AI from your device. Tasks run on our servers. Memory persists in our database. The cloud browser runs in our infrastructure. Even if you close your laptop and walk away, CloudyBot is still working on what you asked.
This "always-on" property is what turns an AI chatbot into an AI assistant. The difference is that an assistant does work even when you're not watching.
Team Workflow Examples
Sales Team: LinkedIn Outreach
Sales rep says: "Research 20 LinkedIn profiles from this list and draft personalized connection requests." CloudyBot navigates LinkedIn, researches each profile, drafts messages. Rep reviews and approves each one. No scripting, no manual copy-paste.
Marketing: Weekly Competitive Analysis
"Check our top 5 competitors' pricing pages and summarize any changes since last week." CloudyBot visits each page, extracts pricing, compares against the last session's data (in memory), and drafts a change report.
Operations: Process Documentation
Upload a voice memo transcript of a process walkthrough. Ask CloudyBot to format it as a numbered SOP with decision points and exceptions. Follow up: "Add the escalation procedure from our compliance doc." Cross-reference automatically.
Remote Teams: WhatsApp Access
On paid plans, team members in the field can ping the AI via WhatsApp instead of logging into a dashboard. Ask questions, get answers from internal docs, request tasks — all through the app they already use all day.
How WhatsApp integration works
Many internal tools require users to learn new interfaces. CloudyBot meets your team where they are. On Base and above, you can connect your CloudyBot account to WhatsApp, giving your team access to the AI from their phones.
Practical applications:
- Field sales rep asks a product question via WhatsApp → AI answers from the uploaded product catalog
- Manager sends a task via WhatsApp → AI queues it and executes when resources are available
- Team member asks about a company policy via WhatsApp → AI finds the answer from uploaded policy docs
The AI has the same memory and document access as in the web dashboard — just accessed through a different interface.
Internal AI vs. Public Chatbots: Detailed Comparison
Public Chatbots (ChatGPT, Claude)
- Session resets — no memory across conversations
- No cloud browser — can't automate web tasks
- No persistent file workspace
- No WhatsApp access
- May use data for model training
- Tasks stop when you close your browser
CloudyBot (Internal AI Assistant)
- Rolling memory — persists across all sessions
- Real cloud browser, live view, session control
- Tiered persistent file workspace (see pricing)
- WhatsApp integration
- No training on your data — ever
- Tasks run in the cloud, not on your device
Setup: What Your IT Team Needs to Do
Nothing. CloudyBot is a SaaS — your IT team doesn't need to be involved unless they want to be. The setup process:
- Team lead signs up — Visit cloudybot.ai, create an account. 60 seconds.
- Upload company documents — Drag SOPs, policies, reports into the Files panel. Supports PDF, Word, Excel, CSV.
- Share with team — Each team member creates their own account (or use a shared account for small teams).
- Connect WhatsApp (optional) — Follow the connection flow in Settings on paid plans.
- Start using it — Ask a question. Assign a web task. Upload a file and query it. No onboarding required.
Security for Internal Business Use
When AI has access to your internal docs, communication tools, and web sessions, security is non-negotiable. CloudyBot's guarantees:
- No model training on your data — Your conversations, uploaded files, and browser activity are never used to train AI models
- User-isolated workspaces — Each account's data is private and inaccessible to other users
- Live browser supervision — Watch automation in real time; pause, steer, or take over during sensitive flows
- Configurable retention — Control how long conversation history is stored. Delete anytime.

Frequently Asked Questions
Can the AI be used across our whole team?
Yes. Currently each team member needs their own CloudyBot account for separate workspaces and memory. For teams using a shared workflow, a shared account also works. Team plans with shared workspaces and centralized knowledge bases are on the roadmap.
How does WhatsApp integration actually work?
On paid plans, you connect your CloudyBot account to WhatsApp in the Settings panel. Once connected, messages go to your CloudyBot AI, which responds with the same memory and document access you have in the web dashboard. Replies come back in WhatsApp.
Can the AI access our internal systems (CRM, ERP)?
CloudyBot can access web-based systems through the cloud browser — anything accessible via a web browser with credentials. Native API integrations to CRMs (Salesforce, HubSpot) and ERPs are on the roadmap. For now, the browser approach works for most web-accessible internal tools.
Does the AI remember things across different team members' accounts?
No. Memory is per-account. Each team member's CloudyBot instance has its own memory, separate from other team members. This maintains privacy within the team. Shared team memory is on the roadmap.
What happens to our internal documents if we cancel?
Your account and all associated data (conversation history, uploaded files) can be deleted at any time. When you cancel a paid plan, your account downgrades to the free tier rather than being deleted, preserving your data. To permanently delete your account and data, contact info@cloudybot.ai.
Can CloudyBot handle sensitive HR or legal documents?
Yes, with appropriate care. CloudyBot does not train on your documents, and files are stored in an isolated workspace. For highly sensitive documents (legal contracts, HR files), we recommend reviewing the relevant sections of our Privacy Policy and considering whether the use case requires on-premises processing (which would require a self-hosted solution).
